Dictode builds and supports ERP and GST accounting software from its Calicut (Kozhikode) office for businesses across Kerala. Flowyana covers GST invoicing with HSN and the CGST/SGST/IGST split, inventory, POS, payroll and accounting today. IRN e-invoicing, e-Way Bill generation and Tally migration are built per customer, usually in 2–6 weeks.

Who this is for: Kerala trading, retail, restaurant, manufacturing and clinic businesses
Kerala businesses rarely look like the textbook ERP customer. A spice or dry-fruit trader in Kozhikode buys in lots that carry a grade and an expiry, sells across three GSTINs, and moves stock to Kochi and Thrissur on a weekly truck. A textile or footwear retailer in Kochi runs several counters, seasonal offers and a wholesale side that invoices with e-Way Bills. A restaurant or bakery group needs kitchen order tickets, a POS that keeps taking orders when the broadband drops, and a month-end that closes without a separate spreadsheet.
The manufacturing pattern is just as specific: plywood, rubber products, coir, food processing and small engineering units that need a bill of materials, batch costing and a purchase side that tracks raw material by lot. Hospitals, clinics and diagnostic labs need pharmacy stock with batch and expiry, consumable billing and a ledger that reconciles receipts by department. None of these need every ERP module, and all of them need GST handled correctly on day one.
This guide is for the owner or accountant of one of those businesses who has outgrown Tally or a standalone billing tool, wants one system for stock, sales, purchase, payroll and books, and prefers a team that can sit at the counter in Calicut or the warehouse in Kochi rather than a vendor that only answers a ticket queue.
GST facts that shape your setup
E-invoicing is mandatory once your aggregate turnover exceeds ₹5 crore in any financial year from 2017-18 onwards. That threshold has applied since 1 August 2023 under Notification 10/2023-Central Tax, and it covers B2B invoices, credit notes and debit notes, each of which must be reported to an Invoice Registration Portal (IRP) to receive an Invoice Reference Number and signed QR code. If you crossed ₹5 crore last year, your ERP needs to talk to the IRP before the next invoice goes out.
Since 1 April 2025, taxpayers with an aggregate annual turnover of ₹10 crore or more must report each invoice to the IRP within 30 days of the invoice date; the portal rejects anything older. For a wholesaler that batches back-dated bills at month-end, that is a process change as much as a software one, and the ERP should flag documents approaching the window rather than leave it to memory.
An e-Way Bill is required when the consignment value exceeds ₹50,000, for movement across state lines and for movement within Kerala. Its validity runs one day per 200 km (or part thereof) for ordinary cargo. Kerala also grants conditional intra-state exemptions, for example for goods sold from a registered sales van and for rubber and spices moved from an agriculturist to a registered business, so a trader in Wayanad or Idukki should confirm which of those apply before automating anything.
The return calendar is the same statewide: GSTR-1 for outward supplies and GSTR-3B for the tax summary, filed monthly, or quarterly with monthly tax payment under the QRMP scheme for taxpayers up to ₹5 crore; GSTR-9, the annual return, which small taxpayers up to ₹2 crore are exempt from filing from FY 2024-25; and GSTR-9C reconciliation above ₹5 crore. The financial year runs 1 April to 31 March, and your books should lock filed periods so a March invoice cannot be edited in July.
Moving from Tally
Most Kerala businesses we talk to are on Tally, and the migration is a data project before it is a software project. What you export: the chart of accounts and ledger masters with GSTIN and state code, item masters with HSN and unit of measure, opening balances as at the cut-over date, and the voucher history you want searchable in the new system, typically the current and previous financial year.
Tally exports are usable, but they are not clean. Ledger names drift over years, the same customer exists under three spellings, HSN codes sit in a free-text field, and stock groups reflect how the business looked in 2019. Dictode builds the import mapping for your particular data, runs it into a staging company, and reconciles trial balance, debtor and creditor totals and stock quantities against the Tally figures before anything goes live. That mapping and reconciliation work typically takes 1–3 weeks depending on how many years of vouchers you bring across.
There is no generic push-button importer; the mapping is written for your company because every Tally installation is different. The upside is that the cleanup happens once, on our side, and the opening trial balance in Flowyana matches the closing one in Tally to the rupee before you cut over.
What Flowyana does today and what Dictode builds
Flowyana today: GST invoicing with HSN codes on every item and the CGST/SGST/IGST split on every line, credit and debit notes, quotations and purchase orders. Inventory with batch and expiry (first-expired-first-out picking), serial numbers and barcode labels; production with bills of materials. An offline-first POS for retail and restaurant counters, with kitchen order tickets and ESC/POS printing, on the desktop build. Attendance, leave and shifts with payroll posting straight into the ledger. Multi-branch with a GST registration per branch, a financial-year lock, Razorpay payment links on invoices, and a shared inbox for WhatsApp, email and social messages.
Dictode builds for you: IRN e-invoicing against the IRP, including the signed QR on the invoice print and the 30-day window check, typically in 3–6 weeks; e-Way Bill generation from the invoice with Part A and Part B, typically 2–4 weeks; TDS deduction at source and the quarterly return working files; and statutory payroll for PF, ESI and Kerala professional tax with the challan and return outputs, typically 4–6 weeks. Each is scoped and priced for your company and delivered on top of the Flowyana core, not sold as a module that may or may not fit.
We say it this way on purpose. Flowyana is not registered as a GST Suvidha Provider and does not ship e-invoicing; the IRP integration is custom work Dictode has the tooling to deliver quickly, and you keep the source for what is built for you.
Local rollout and support in Kozhikode, Kochi and the rest of Kerala
Dictode is headquartered in Calicut, so on-site setup in Kozhikode and Kochi is the default rather than a premium option. A rollout usually runs as one visit to map your masters and counters, a staged import of the Tally data, then training on your premises for the billing, stores and accounts staff in the order they will actually use the system. Support is available in Malayalam and English, by phone and WhatsApp, in Indian business hours.
For Thrissur, Malappuram, Kannur, Kollam, Thiruvananthapuram and the rest of Kerala, the same team works remotely with a site visit for go-live and for any hardware such as barcode printers and POS terminals. Cloud hosting is the usual choice; an on-premises install is available for businesses that want the server inside their own building, with the same support arrangement either way.
قائمة التحقق من جاهزية الامتثال
- Collect every GSTIN, the registered address and state code for each branch, and last year's aggregate turnover to know whether ₹5 crore (e-invoicing) or ₹10 crore (30-day IRP window) applies
- Export item masters from Tally with HSN, unit of measure and GST rate, and fix the free-text HSN entries before import
- Fix the opening-balance date (usually 1 April) and get the closing trial balance, debtor and creditor lists and stock count from Tally as at that date
- List every branch, counter and warehouse, and which movements between them will need an e-Way Bill
- Inventory the POS hardware on site: receipt printers, barcode scanners, label printers and the internet link at each counter
- Confirm bank accounts for receipts and whether you want Razorpay payment links on invoices from day one
- Decide who signs off the reconciliation between Tally and Flowyana before the cut-over
الأسئلة الشائعة
لديك سؤال آخر؟ تحدث مع المبيعات
Do you support Malayalam?
Yes. Our support and training teams in Calicut work in Malayalam and English, and on-site training is delivered in whichever language your billing and stores staff are comfortable with. Where you need Malayalam on printed invoices or receipts, Dictode builds those document formats for you as part of the rollout.
Can we migrate from Tally?
Yes, as a scoped migration rather than a one-click import. You export masters, opening balances and voucher history from Tally; Dictode builds the mapping for your data, imports it into a staging company and reconciles the trial balance and stock against Tally before go-live. Expect 1–3 weeks.
Is e-invoicing (IRN) included?
Not in the product as shipped. Flowyana does not include IRP integration; Dictode builds it for your company, including the signed QR on invoice prints and the 30-day reporting check for businesses at ₹10 crore and above, typically in 3–6 weeks.
Do you visit our office?
Yes. On-site setup and training in Kozhikode and Kochi is standard, and a site visit for go-live and hardware is included for other districts, with the rest of the rollout done remotely.
What does an ERP for a Kerala trading company cost?
It is sized on three things: the number of branches and counters, the modules you switch on at go-live (billing and stock, then accounts, then payroll), and how much custom work you need such as IRN e-invoicing or a Tally migration. We scope it in one call and send a fixed proposal within 24 hours, so you compare a number against your current licence and audit spend rather than a price list.
Cloud or on-premises?
Either. Most Kerala customers choose cloud hosting so every branch sees the same stock and ledger; on-premises is available where you want the server in your own building. The POS keeps working offline in both cases and syncs when the connection is back.
Does the software generate e-Way Bills?
e-Way Bill generation from the invoice, with Part A and Part B and the vehicle update, is built per customer by Dictode, typically in 2–4 weeks. The ₹50,000 consignment threshold and the one-day-per-200-km validity are enforced in the workflow so a bill is raised before the truck leaves.
